This Privacy Policy explains how HOTAIL, the operator of StrydeFlow, collects, uses, stores, and shares information when institutions, administrators, staff, guardians, and other authorized users use StrydeFlow and related services.
Who We Are
StrydeFlow is a software service operated by HOTAIL for educational institution attendance operations, reporting, and approved parent communication workflows in India.
Information We Collect
- Institution and account details, such as institution name, admin name, role, and email address.
- Student records, such as student name, admission number, class, section, and internal student identifiers.
- Guardian details, such as guardian name, phone number, and email address where provided.
- Attendance and reporting data, including attendance status by date, class, and section, and exported reports.
- Messaging configuration and message data used for institution-owned WhatsApp communication, including approved business account details, phone number IDs, template details, delivery status, and message logs.
- Institution branding and uploaded assets, such as logos and related setup information.
- Security and operational data, such as authentication events, session information, service logs, webhook events, and technical records needed to protect the service.
How We Use Information
- Provide institution onboarding, account access, attendance management, reporting, and parent communication features.
- Maintain service security, prevent misuse, investigate incidents, and support authorized users.
- Send system notices, onboarding communications, and operational support messages.
- Comply with legal obligations, enforce our terms, and maintain internal records.
Controller and Processor Roles
For student, guardian, attendance, and institution operational records submitted by a school or other educational institution, the institution generally acts as the data controller and HOTAIL generally acts as a service provider or processor on that institution’s behalf. HOTAIL acts as the controller for its own business contact, account administration, support, security, and billing data.
Third-Party Services
We use third-party service providers to operate StrydeFlow. These may include:
- Google Firebase and Google Cloud for authentication, database, file storage, and supporting infrastructure.
- Meta WhatsApp Cloud API for approved parent communication features operated through the institution’s business messaging assets.
- Cloudflare for hosting and delivery of the marketing website and related web infrastructure.
How We Share Information
- With the institution and its authorized users as part of normal service operation.
- With service providers who process information on our behalf to operate the platform.
- When required by law, regulation, legal process, or to protect rights, safety, and security.
- In connection with a business transfer, merger, or restructuring, subject to applicable law.
Children’s Data
StrydeFlow is not intended for direct sign-up or direct consumer use by children. Educational institutions may use StrydeFlow to manage student records and related guardian communication. Institutions are responsible for providing required notices, obtaining any needed permissions or consents, and ensuring their use of StrydeFlow complies with applicable law and school policy.
Retention
We retain information for as long as reasonably necessary to provide the service, maintain security and audit records, resolve disputes, and comply with legal or contractual obligations. Retention periods may vary based on the institution’s service period, support needs, and applicable law.
Security
We use reasonable technical and organizational measures designed to protect information from unauthorized access, loss, misuse, or alteration. No system is completely secure, and we cannot guarantee absolute security.
Your Choices and Requests
Institution administrators can contact us for account, correction, export, or deletion requests. Parents, guardians, and students should contact their educational institution first, because the institution usually controls the relevant student records in StrydeFlow.

StrydeFlow is offered for institutions in India. We will handle personal data in accordance with applicable Indian law, contractual commitments, and our legitimate operational and security requirements.
